Planning Timeline

TCU begins gathering and vetting requests for internal group summer residential reservations. Note: we make every effort to accommodate all group requests, but space and time limitations may require flexibility. We do not guarantee that every request can be accommodated.

TCU begins gathering and vetting requests for external summer residential reservations. Note: we make every effort to accommodate all group requests, but space and time limitations may require flexibility. We do not guarantee that every request can be accommodated.

For tentatively scheduled groups, TCU will ask for more specific details regarding the residential component of your program (check in/out times, estimated attendance, room type preferences, contact info, etc.). This will come in the form of an online housing application via StarRez.

Confirmed groups will receive a contract (external groups), TCU insurance requirements, and other pertinent risk management information.

Deadlines to request summer camp housing. Your contract, insurance, and deposit are due to TCU Conference Services. We will communicate specific date deadlines.

21 days prior to arrival, your housing application is due or else we may not have space set aside for your group. We will plan a meeting with TCU’s summer camp & conference team. In the form of a Google Sheet, you will receive the Master Registration spreadsheet for you to complete rooming assignments and other critical information about your attendees.

Master Registration due. After this time, all changes and adds must be requested through the Office of Conference Services. If residential or commuter late additions, swaps, or moves are accommodated, TCU will implement a $100 fee for each late change.

Check in at Moncrief Hall (or another agreed upon location). You will receive ID cards, keys, maps, lanyards, WiFi logins, and other information.
