To schedule a scouting tour, email events@tcu.edu to see what spaces are possible for the production.

Filming Requests

After scouting or if the ideal locations are already known, the following process to be approved to film on campus is:

  1. Submit the University Events filming request form.
    1. Include a copy of current COI that meets risk management minimums
      1. Film trucks: Any vehicles associated with the filming will require the COI to have auto coverage and worker’s compensation as a part of its COI.
    2. University Events will verify the preferred venue, dates, times and necessary campus partners and associated fees by putting the information into a quote for the filming crew to accept and complete the contract process.

Depending on the nature of shoot, the production team may be asked to send a copy to events@tcu.edu of the script or storyboard at least 30 days prior to the shoot. The University Events team member will communicate with the production team if this is necessary.

Use of TCU Logos and Marks

  1. If the production is using any branding or recognizable aspects of TCU, the production team will work with University Events to ensure that approval for the appropriate marks and logos are used.
    1. Commercial Use of the TCU logo or marks: Commercial use covers use of any TCU logo/mark on a product directly or indirectly connected with any business or on an item intended for profit.Any commercial use of university marks requires prior approval and contractual or licensing agreement. The form is required to be completed prior to the shoot 30 days prior. Using TCU logos or marks are subject to additional fees.
    2. Non-Commercial Use of the TCU logo or marks: Any requests for non-commercial use are very rare. Email events@tcu.edu to inquire about non-commercial use of any logos or marks.

Participant Recruitment

  • Eligibility: Productions on campus may utilize TCU students, faculty, and staff as actors or extras.
  • Recruitment Responsibility: Securing all student, faculty, or staff talent is the sole responsibility of the production.
  • Voluntary Nature: Any individual participating in a production does so strictly as a private person.
  • No Requirement: Participation is entirely optional; it is never a requirement of an individual's status, employment, or enrollment at the university.

Minors as Actors or a part of a filming or production shoot

Should there be any minors hired as a part of the production, then the production team must adhere to the Protecting Minors on Campus. A list of all minors involved will need to be provided to University Events if this applies.

Student Filming Requests

Current students may film on campus if they are filming specifically for a class project. Registered student organizations may also film on campus if the footage will be posted solely to their website or social media pages. Filming must not be disruptive, violate any other university rules, inconvenience members of the university community or create a safety hazard.

Locations

Students are responsible for obtaining permission from the appropriate department(s) in areas of campus where they wish to film. If questions or issues arise, students are encouraged to seek the assistance of the faculty member(s) who assigned the project.

Logistics

Student film productions will need to provide a list of involved students and locations where the film will be shot and screened and shared at least 48 business hours to University Events. Should there need to be an escort or chaperone, the location venue will coordinate chaperoning and the schedule that is needed and the availability of the requested locations.

Students wishing to film for other purposes must fill out the request form located under “Outside Groups.”
